How To Use A Text RSVP App For Your Event

Using a text RSVP app can be a great way to give your guests an easier way to reply to your invitations. The result is usually more replies and less chasing down guests. If you’ve hosted a few events in your lifetime, you’ll also know that sometimes guests will end up sending you a text message as their RSVP anyway (even if you paid good money for them to use your provided stamp and envelope).

So, why not let them use text message for their RSVP anyway?

In this post we’ll show you how to setup your event with the text RSVP app – Replied App

Step 1: Sign up for a replied.app account
You’ll first want to head over to the replied.app website (https://www.replied.app) and click the “sign up” button on the top right.

Enter your name, email, and password then click the “Sign Up” button and you’ll be forwarded to your event dashboard.

Step 2: Create your first event

From the “home” page, click the “+ Event” button. This will take you to the event creation page. Enter a title for your event in the event name box (example: Sarah and Brandon’s Wedding). In the date dropdown, select your event date and time. Also enter your name or your event planning company name (if you’re planning this event on behalf of one of your clients).

Click “Setup my event” when you’re finished. You’ll then be taken to your event dashboard. Your total RSVP replies and head count will appear here. You can now begin manually adding RSVPs for free if you choose to do so.

Step 3: Activate your event for text message RSVPs

When your event is 6 months away or less, you’re ready to start gathering your RSVPs via text message (remember – your dedicated replied app phone number is only available for the 6 months up to your event). Click the “Activate” button on the left side of the screen.

Once you get to the activate page, you’ll need your total invitation count to know which tier to purchase. There are many different tiers to choose from depending on the size of your event and how many RSVPs you need – Tier 100, Tier 200, Tier 300, Tier 500, Tier 1000, and Tier 1500. For this tutorial we’re going to choose tier 100. Click the dropdown on the right and select “Tier 1 – Up to 100 text rsvps” and then enter all your payment information. Secure payment processing is provided by Stripe, and you will receive a receipt via email afterwards.

Step 4: Create your event settings – this is important!
After you activate your event you will be forwarded to the event settings page. This is where you setup how your text RSVP messages will flow and what questions your guests will be asked.

You have three options:

  1. Ask for number of guests
    1. This is recommended for all events, but if your event is setup for one invitation for every guest (everyone will be attending solo), this can be disabled.
  2. Ask for meal choice
    1. For more formal events, you may need to know what your guests wants to eat, so this can be used to get a total count of all your guests meal choice. You can customize your meal choices on the settings page of your event.
  3. Ask for kids under 10
    1. This is useful for any event with catering where the price of the event depends on head count. Normally, kids under 10 eat for free so getting this total is incredibly useful.

Be sure to disable or enable the above options according to what type of event you are having. Once you do this, you can see how the entire text message conversion will go at the bottom of the settings page.

Next, confirm your event planner name is setup correctly in the event planner field (can be your name if you are hosting your own event or your event planning company name if you are hosting on behalf of a client).

Be sure your event name is descriptive, your guests will see this event name in the text messages they receive.

Step 5: Check your dedicated text RSVP phone number
Click the “RSVPs” button on the far left of the screen to navigate to the RSVP management page. This page will contain all your guest information (their names, phone numbers, number attending, meal preference, kids under 10). At the top left of the page you will see your dedicated phone number. This is the number you will share with your guests to start receiving automatic text RSVP replies.

Setting up your invitations is simple, just place your replied app rsvp phone number on your invitations or RSVP cards with a short message “We are using Replied App to gather our RSVP replies via text message. Please text “hello” to 123.456.7890.” Be sure to use YOUR dedicated number in the message.

This dedicated RSVP phone number can be shared with paper invitations, sent via email, displayed on your wedding website, or if you’re having a corporate event you can even display it on a flyer in your office.

This is the number you will share with your guests to start receiving automatic text RSVP replies.

Step 4: View your RSVP replies


Once you have shared your dedicated phone number, you can return to the RSVP page and begin viewing replies from your guests. You will see the total reply and head counts at the top of the page. You can also filter on individuals by name or response and view their information. You can also manually add RSVP responses or edit responses that guests have already submitted.
